SynerVox.AI Receptionist — Privacy Policy

Who we act for
This policy covers the SynerVox.AI Receptionist: the virtual receptionist that answers the telephone for medical practices, books appointments with them, and sends appointment messages by text and email. It is provided by Madouk Corp (trading as SynerVox.AI). The medical practice you call is in charge of your information. We provide the receptionist service to that practice and handle your information on its behalf and on its instructions. The practice’s own notice of privacy practices also applies.
What we collect
When you call a practice that uses our receptionist, we collect what is needed to help you with your appointment:
- Who you are (name, date of birth, phone number). How to reach you (mobile number and email). Your appointment (time, provider, reason for visit). Insurance (company and member ID). A record of the call: what was said and done on the call, kept so the practice can see what the receptionist did. We do not record medical advice — the receptionist does not give any.
How we use it
We use the collected information to:
- Find, book, reschedule, confirm or cancel your appointment in the practice’s scheduling system, and to pass requests and messages to the practice’s staff. Send you appointment messages — confirmations, reminders and notices of changes — by text message or email, if you agreed to receive them. Keep the service working, safe and secure. We do not use your information for advertising or marketing.
Text messages (SMS)
Regarding appointment messages:
- We text you only after you agree on the call to receive appointment messages at your mobile number. You receive appointment confirmations, reminders and notices of changes. Message frequency varies. Message and data rates may apply. Reply STOP to opt-out or HELP for help. We do not sell or share your SMS opt-in data or personal information with third parties for marketing purposes. Our SMS terms are at synervox.ai/sms-terms.
Who we share it with
We share data with the medical practice you contacted and its scheduling system. We also use service providers for telephone, text, and voice services under confidentiality obligations. We share where the law requires it. We never sell your information.
Data Protection
Your information is encrypted in transit and at rest, and access is limited to necessary systems. We keep it only as long as needed for the purposes above, or as the practice requires, and then delete it. Because the practice in charge of your data, please contact them to see, correct, or delete it.
